Our Booking Process – How It Works

What does the booking process look like?

Head to our Book Now page, choose your preferred color theme, select a package size, and pick your date and location. Once you read through and check off our Terms and Conditions, you can submit your booking and payment details. We will then review park availability if that’s what you selected and send you an invoice with forms that must be signed within 48 hours of your booking, or your booking will be canceled. If you selected a private residence or purchased a venue, there will not be additional forms.

How far in advance should We reserve our date?

If you selected a local park, we require 30 days’ notice; however, if you selected a private residence or a customer-reserved venue, we recommend booking at least 2 to 3 weeks in advance to secure your date and time. Currently, we are in our soft launch and only accepting weekend bookings until 2027.

What can we expect from you on our Gathering day?

Depending on the location selection and group size, I will arrive to set up either an hour or 30 minutes before your reserved time, on the date of your gathering. At the end of your time slot, I will arrive promptly to pack up the setup. With time to chat afterwards.

Do You Provide Food or Alcohol?

Currently, we do not provide food; however, in 2027, we will offer a food package. You are more than welcome to bring your own food. We encourage it! Regarding alcohol, we will not offer alcohol at any time. If you wish to bring alcohol, please adhere to the local city or county ordinances of the location you select.

Frequently Asked Questions

If you wish to leave your picnic early, you may do so, but our contractual agreement requires you to text and call us 30 minutes before you pack up. As our inventory is highly valuable, you cannot leave the site unattended. Some local ordinances do not allow unattended set-ups. You must wait until our team member arrives to physically take over the setup. We are usually not too far away. If there is an emergency, you must attend.

The Lowcountry weather can be quite unpredictable! We do not offer refunds for bad weather, but we do monitor the radar. If rain or high winds are forecasted that week, you can choose to move the picnic to an indoor location (like your living room or porch) or reschedule to a future available date within 90 days at no extra cost. We require weather changes to be finalized at least 48 hours before the event.

  • Cancellations with 7 or more days’ notice: Please notify us at least 7 days before your reserved date to cancel your event entirely.
  • Cancellations with less than 7 days’ notice: We will retain the full payment, but you will receive a credit toward a future booking.
  •  Holidays and holiday weekends: We do not offer refunds for bookings scheduled on these dates.

We understand that accidents happen! However, guests are responsible for the items during their booking window. Minor food or drink stains on rugs and cushions are covered by our standard cleaning process. If an item is permanently ruined, broken, or stained beyond repair (such as red wine on white or broken glassware), a replacement fee will be charged to the card on file.

To maintain our high standards of quality and seamless logistics, we do not accept custom themes or color palette orders at this time. Our inventory is pre-curated into our signature styles. However, you are more than welcome to bring your own small personal touches (such as a favorite photo frame, or special favors (NO CONFETTI) to add to the table when you arrive.

FAQ for Timing and Durations

Public Parks: We allow 2 hours of use for our Signature Packages. This helps us comply with local park guidelines and ensure you have plenty of time to relax and eat (if you brought food).

Private Residences & Reserved Venues: We allow 3 hours of use for our Signature Packages. Because we don’t have to worry about public park restrictions, we allow an extra hour to celebrate at your own pace.

Yes! However, you can only extend your experience if you are at a private residence or a reserved venue. You can add time for $50 per hour. This add-on must be requested due to availability and paid for at least one week before your event so we can adjust our team’s scheduling and logistics if applicable. We cannot add extra time any later than that or on the day of the picnic or micro event unless otherwise approved through written documentation and an updated invoice.

Please call or email us as soon as possible if you are running behind! Your reservation time starts exactly at the scheduled time you booked, not when you arrive. Because we often have multiple events scheduled in a single day, we cannot extend your end time if you are late. Our team will remain with the setup for up to 30 minutes after your start time; if you do not arrive or contact us within those 30 minutes, the picnic will be considered abandoned, and no refund will be issued.

Yes, but we ask that you do not arrive more than 10 minutes before your scheduled start time. Our styling team works right up until the final minutes to ensure every detail- from the candles to the place settings-is absolutely perfect. Arriving too early can disrupt the final staging process and spoil the “wow factor” reveal for your guests!
